Skip it if you expect to need Professional features soon; Starter is $20 per seat monthly and Professional jumps to $100 per seat plus a mandatory $1,500 onboarding fee.
Choose GoHighLevel if follow-up needs SMS and voice as well as email and you run a local-service business or agency. Starter is $97 monthly with unlimited contacts and users, funnels, SMS/email/voice workflows and a unified inbox. Telecom usage bills on top and is easy to under-budget. Choose ActiveCampaign if the logic will branch: different paths for people who clicked, replied or went quiet, with lead scoring deciding who a human calls. Step 2: build the capture form and connect it
Use the native form of whatever you chose in step 1. A native form creates the contact directly, with no integration to break.
Add Zapier only if the lead arrives somewhere else: a Typeform, a marketplace, a Facebook lead ad. Step 3: write the sequence
Five messages is enough. Day 0 within five minutes: confirm you received the enquiry, say what happens next, offer a booking link. Day 1: answer the most common question a lead in your business asks. Day 4: a short case or example. Day 8: ask directly whether they are still deciding. Day 14: a final note that closes the loop and tells them how to come back.
Write these as plain text from a named person. The goal is a reply, not a click, so every message ends with one question.
Step 4: set the exit conditions
This is the step people skip and the reason automated follow-up goes wrong. The sequence must stop when the lead replies, books or is marked lost: unenrol on reply and deal-stage change in HubSpot, use a goal or reply trigger in ActiveCampaign, stop the workflow on an inbound conversation in GoHighLevel. Step 5: route the human moment

The mistakes that make it fail
Sending from a no-reply address, which kills the reply you wanted. No exit conditions, which annoys buyers. A first message that takes hours because the automation polls rather than triggers; Zapier's lower tiers poll, so if speed matters, use a native form. Writing the sequence once and never reading the replies; the day-1 message should change based on what leads actually ask. And automating before you have followed up manually for a month, because you do not yet know which question to answer.
